This Privacy Policy explains what information we collect, why we use it, when we share it, how we protect it, and how you may contact us about your personal information.
Information we collect
We may collect personal information such as your name, company name, job title, telephone number, email address, billing address, delivery address, VAT number, company registration details, buyer details, accounts contact details, enquiry details, quotation and order information, payment and account information, product-support information, website usage information, and communication records.
Where you apply for a trade account, customer account or credit facility, we may also process account setup information, payment-term information, credit status, approval records, trade references, and related onboarding information.
How we collect information
We collect information when you contact us, submit a website form, request a quote, place an order, apply for an account, request support, subscribe to communications, or otherwise deal with us.
We may also receive information from your company, authorised representatives, suppliers, brand principals, logistics providers, payment providers, trade references, public sources, and business systems used to manage our relationship with you.
Why we use your information
We use personal information to respond to enquiries, open and manage customer accounts, prepare quotations, process orders, arrange delivery, manage billing and payment, assess account and credit requests, provide product support, manage warranty or service queries, communicate with buyers and account contacts, maintain business records, meet legal and tax obligations, protect our rights, and improve our systems and services.
We may also use your information to send relevant product, brand, stock, pricing, support or account-related communications where permitted by law.
Lawful basis
We process personal information where it is necessary for a contract, required by law, based on consent, necessary to protect a legitimate interest, or otherwise permitted under POPIA.
Where we rely on consent, you may withdraw that consent. This will not affect processing already done lawfully or processing we must continue for legal, operational, accounting, tax, warranty, dispute or legitimate business reasons.
Sharing information
We may share personal information with employees, contractors, represented brand principals, suppliers, logistics providers, payment providers, banks, accountants, auditors, legal advisers, insurers, IT providers, CRM, ERP and accounting providers, cloud service providers, and regulators where needed for lawful business, operational, legal, accounting, support or compliance purposes.
We do not sell personal information to third-party marketing lists.
Cross-border processing
Some of our systems, service providers, brand principals or support partners may be located outside South Africa. Where personal information is transferred outside South Africa, we will take reasonable steps to ensure that the transfer is lawful and appropriately protected.
Security and retention
We use reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, disclosure, alteration or destruction.
We keep personal information only for as long as needed for the purpose for which it was collected, or as required for legal, tax, accounting, warranty, dispute, audit, business record or compliance purposes. When no longer needed, we will delete, destroy or de-identify it where reasonably possible.
Direct marketing
We may send relevant business, product, brand or account communications where permitted by law. You may opt out of marketing communications at any time by using the opt-out method in the communication or by contacting us.
Cookies
Our website may use cookies or similar technologies to operate the site, understand website traffic, improve user experience, and support analytics or marketing. You can manage cookies through your browser settings or any cookie tool provided on our website.
Automated decisions
We do not intend to make customer activation, credit, pricing or trading-permission decisions based solely on automated processing where that decision would have a legal or significant effect on a person.
Your rights
Subject to POPIA, you may ask whether we hold personal information about you, request access to it, request correction or deletion, object to certain processing, withdraw consent where applicable, or object to direct marketing.
